User Creation in Zeta HRMS Core
In Zeta HRMS Core, users are responsible for accessing and operating the HRMS portal. User creation and maintenance are managed through the System Manager module under Administrative Services.
The following key screens are involved in user creation and access control:
1. Access Level
The Access Level master defines the scope of employees a user can view and manage within the system.
Access Levels are created in this master screen.
Each access level is mapped to employees via the Rules tab in the Employee Master.
While creating a core user, the appropriate access level must be assigned.
Upon login, the user can view, modify, and perform transactions only for employees tagged to their assigned access level.
This restriction applies across all transaction and report screens.
Example:
If an access level named KSA Staff is created and assigned to employees working in KSA, and the same access level is selected for a user belonging to the KSA HR team, that user will be able to access only KSA staff records.
2. User Group
The User Group screen is used to define functional and screen-level permissions.
User Groups control access to:
Dashboards
Employee Master tabs
Transaction screens
Reports and other system features
Rights can be configured per screen and per activity, such as:
View
Add
Edit
Delete
Once created, a user group can be assigned to users during user creation.
This ensures role-based access control across the HRMS.
3. User Management
The User Management screen is used to create and maintain core users.
From this screen, you can:
Create new users by entering required login and profile details
Assign the appropriate User Group and Access Level
Customize user rights by removing specific permissions inherited from the user group
(Note: New screens cannot be added at the user level; only existing rights can be restricted.)Modify login credentials and user details
Reset passwords in case a user forgets their login credentials
Summary
By combining Access Levels and User Groups, Zeta HRMS ensures:
Data security through employee-level access control
Role-based permissions for system functionality
Flexible and controlled user management
This structure helps organizations maintain confidentiality while enabling efficient HR operations.
