Employee Self-Service (ESS) Management – Zeta HRMS

The ESS Management module enables employees to access self-service features while allowing HR to manage users, track submissions, approve documents, and communicate important updates.


1 Creating a New ESS User

  1. Navigate to ESS Management → Settings → ESS User.

  2. Enter the user details and save the record.

  3. To import multiple users:

    • Go to ESS Management → Activities → Import and upload the Excel file with user details.

  4. To reset a password for an ESS user:

    • Access the ESS User screen, click Edit, and reset the password.

Proper ESS user creation ensures employees have secure access to the self-service portal.


2 Tracking All Employee Entries

  1. Navigate to ESS Management → Activities to view:

    • Submitted requests

    • Approved requests

    • Rejected requests

    • Current status of each entry

  2. For detailed monitoring and reporting:

    • Go to ESS Management → Reports to access logs and different report formats.

This provides a complete overview of employee submissions and HR actions.


3 Approving Employee Documents

  1. Navigate to ESS Management → Activities → Approve Employee Documents.

  2. Select the document to review.

  3. Approve or reject the document as required.

This ensures all employee-submitted documents are verified and tracked efficiently.


4 Sending Downloads to Employees

  1. Navigate to ESS Management → Settings → Manage Download.

  2. Click New.

  3. Select the employees who should receive the download.

  4. Add necessary details and attach the files.

  5. Click Save.

HR can distribute important documents, forms, or resources directly to employees via ESS.


5 Making Announcements or Management Messages

  1. Navigate to either:

    • ESS Management → Settings → Manage Announcement, or

    • ESS Management → Settings → Management Messages

  2. Enter the required details.

  3. Save the entry to make it available to employees.

This feature allows HR or management to communicate important updates, notices, or messages to employees efficiently.


Outcome:

  • ESS users are properly created and managed.

  • Employee submissions and documents are tracked and approved systematically.

  • HR can communicate effectively through downloads, announcements, and messages.
